User Codes Explained

User Codes are unique identifiers that users can assign to their user-added food items (ingredients and recipes). They're the counterpart to Item Codes, which are the identifiers on Trustwell database items. Together, they ensure every food item in the system has a traceable, unique identifier.

Users have the option to enter a User Code for user-added Ingredients and Recipes.

  • Minimize duplicate data — a unique code per item reduces the risk of creating or using the wrong ingredient

  • Easier searching & tracking — users can search by User Code to quickly find specific items

  • Traceability in shared systems — makes actions traceable to an individual item, especially important when multiple users share a database

  • Formulation accuracy — helps ensure the correct item is selected when building recipes

Adding a User Code

  1. Open the Ingredient or Recipe you want to add the User Code to

  2. Navigate to the Identification section of the food item

  3. Create a User Code with your unique code value

Identifying a User Code

  • The User Code Field can be found at the top of any Ingredient or Recipe.  The User Code will remain when a user updates the food item to a new version.
  • The User Code also appears in the Formulation table. 
  • The User Code is listed in the table on the Advanced Search and can be used as a search term. 
  • The User Code is also visible in Reports

NOTE: Once a User Code has been assigned to a item and Approved, the system will prevent that User Code from being used again in any other item.
